Start with the show’s own instructions
The organizer’s exhibitor manual defines the process for this particular show. Share it with the production team alongside the booth drawing. Seattle Convention Center also provides an exhibitor services portal; use the current official information for ordering and deadlines rather than copying a schedule from another event.
Coordinate electrical requirements
Seattle Convention Center identifies Edlen Electrical as its exclusive electrical and utility service provider for exhibitors and show management. Give the approved equipment requirements to the appropriate ordering contact. A production plan is not an electrical order, and submitting one does not automatically complete the other.
Keep one current plan
Record the approved station position, equipment list and service orders together. If the booth changes after approval, update the crew and the venue contacts. Keep access instructions and on-site contact details available to the people actually arriving with the equipment.
Illustrative planning scenario
Example: equipment changes after a service order
The production scope adds equipment after the exhibitor places an electrical order. Tell the ordering contact and review the revised requirement with the venue provider. Do not assume the existing order covers an expanded setup just because the booth dimensions are unchanged.
A working decision sheet
Keep the venue and show documents linked in the brief rather than copying old instructions into a permanent checklist. Ordering processes and deadlines can change between events. The table below assigns questions to an owner; it does not replace the organizer’s current manual or a provider’s technical review. Merch Troop is not presented here as the venue or its exclusive utility contractor.
| Decision | Record or review | Planning note / owner |
|---|---|---|
| Show requirements | Current exhibitor manual and organizer contact | Exhibitor / agency |
| Electrical | Approved equipment requirement and order status | Exhibitor with the designated provider |
| Access | Move-in schedule, loading process and crew badges | Organizer / venue contact |
| Station layout | Working area, inventory and guest flow | Exhibitor and production team |
Put it into your brief
- Where is the current show manual and services portal?
- Who is responsible for submitting the electrical order?
- Have layout or equipment changes been communicated to every affected team?
Use these questions to record the decisions you already know and identify what needs review. Keep the brief with the current product specifications and event documents.
